Designing a clear family communication workflow

How to connect each notice to the right record, channel, and follow-up owner.

Good communication is more than sending a message. The team should know who owns the information, who approves it, who receives it, and how follow-up is recorded. Start with important events such as absence, fees, results, and timetable changes.

Define the source and audience

Connect every notice to a clear record in its original workflow. Select the guardian or group from current data instead of a separate list that becomes difficult to maintain. Review language, timing, and channel before release.

Close the follow-up loop

Record delivery status, the person responsible for replies, and the next action when a family needs help. Repeated questions often reveal a process problem, not only a writing problem, so review patterns with the operational team.
